Sensitive information. We do not ask for sensitive information such as health details, racial or ethnic origin, religion, union membership or criminal history. A CV can still include it, so please remove anything you do not want to share before uploading. By uploading a CV containing sensitive information, you consent to us handling it for the purposes in this policy.
3. How we collect it
We usually collect personal information directly from you, when you register, upload a CV, complete your profile, apply for a role, use our services or contact us.
We also collect it automatically when you use our websites (see section 8), and from other sources:
- Your CV: we use software to read your CV and fill in your profile.
- Employers: when they post roles, manage applicants or contact us about you.
- Public sources: public company information, such as ASX announcements and company websites. [CLIENT TO CONFIRM whether any information about individuals comes from public sources or recruiters.]
If you give us someone else's personal information, please make sure they know you are doing so.
You can browse our public websites without identifying yourself. We cannot match you with employers or create a profile without knowing who you are.
4. Why we collect, use and disclose it
We handle personal information to:
- create and manage accounts, and verify who you are;
- read your CV, build your profile and summarise your experience;
- match candidates with roles and companies, and show employers relevant candidates;
- send applications and make introductions you ask for;
- process payments and manage our relationship with employers;
- send service messages, job alerts and company updates;
- provide support and respond to enquiries and complaints;
- understand how our websites are used and improve them;
- keep our services secure, and meet our legal obligations.
We only use or disclose personal information for these purposes, for related purposes you would reasonably expect, with your consent, or where the law allows or requires it.
Marketing. We may send you information about our services and relevant opportunities. Every marketing email has an unsubscribe link, or you can contact us to opt out. We do not sell your personal information. [CLIENT TO CONFIRM]
5. AI and automated decisions
We use computer programs, including AI, in ways that can affect the opportunities you see or are offered.
Information these programs use: the contents of your CV, work history, qualifications, skills, role, industry, location, availability, salary or rate expectations, work rights and stated preferences.
Decisions made solely by a program:
- which roles and companies are suggested to a candidate, the match score shown, and the order they appear in.
Decisions where a program does something substantially and directly related to the decision:
- reading your CV and turning it into profile details and a written summary, which employers and our team may rely on;
- in some cases, scoring candidates and using that score to sort them for employers.
A program does not decide who is hired. That decision rests with the employer. AI output can be wrong, so please check your profile and correct anything inaccurate. If you are concerned about an automated outcome, contact us and a person will review it.
6. Who we share it with
Employers. What employers see depends on the visibility you choose:
- Public profile: companies can find you in search and contact you about opportunities.
- Private profile: you are hidden from company search, and only companies you apply to can see you.
We also share your details, which can include your CV and phone number, when you apply for a role or ask us for an introduction.
Service providers. These companies help us run SCREENED, and only receive what they need to do so:
| Provider | What it does | Information involved |
|---|---|---|
| Amazon Web Services | File storage and related services | CVs, profile pictures, extracted CV data |
| Linode | Servers and databases | All information we hold |
| OpenAI | AI reading and summarising of CVs | CV contents |
| Brevo | Sending email | Name, email, message contents |
| Stripe | Payments | Employer billing and payment details |

Others. We may disclose information to our professional advisers, to a buyer if our business is sold, and to government or law enforcement bodies where the law requires or allows it.
7. Overseas disclosure
We are likely to disclose personal information to recipients overseas, mainly our service providers.
Those recipients are likely to be located in the United States and France. Our CV files are stored with Amazon Web Services in Sydney, Australia.
Employers on SCREENED may also be located, or have staff, outside Australia.
We take reasonable steps to make sure overseas recipients handle your information in line with the Australian Privacy Principles, including through contract terms.
8. Analytics, cookies and session recording
Our websites use cookies and similar technologies to keep you signed in and to understand how they are used.
- Google Analytics measures visits, where they come from and what people do on our websites.
- Microsoft Clarity runs on our public homepage. It records how visitors move through a page, including clicks, scrolling and page content, and turns this into session replays and heatmaps.
These tools collect information such as your IP address, device, browser and approximate location. Google and Microsoft handle it under their own privacy policies.
We do not use these recording tools inside logged-in candidate or employer accounts.
You can block or delete cookies in your browser settings, though signing in may then stop working. Google offers a browser add-on to opt out of Google Analytics.
9. Storage, security and retention
We hold personal information electronically, in databases and file storage run by us and our service providers.
We take reasonable steps to protect it from misuse, interference, loss, and unauthorised access, change or disclosure. These include access controls and encrypted connections. No system is completely secure.
If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as the law requires.
We keep personal information only for as long as we need it for the purposes in this policy, or as the law requires. [RETENTION PERIOD: CLIENT TO DECIDE, e.g. candidate data is deleted or de-identified [X] months after an account is closed or inactive.] After that, we take reasonable steps to destroy or de-identify it.
10. Accessing and correcting your information
You can ask for access to the personal information we hold about you, and ask us to correct it. There is no charge for asking.
You can update most profile details yourself by signing in. For anything else, contact us using the details below. We may need to confirm your identity first.
We will respond within a reasonable time, usually 30 days. If we refuse, we will tell you why in writing and how to complain, unless it would be unreasonable to do so.
To close your account or ask us to delete your information, contact us. We may keep some information where the law requires it.
11. Complaints and contact

We will acknowledge your complaint, look into it, and respond within a reasonable time, usually 30 days.
